1. About this privacy policy

This Privacy Policy explains how ShipCarte Inc. collects, uses, discloses, retains and safeguards personal information when you visit our websites, create or use a platform account, request a quote, communicate with our team, or use our shipping, fulfillment, warehousing or related logistics services.

Personal information means information about an identifiable individual. It does not normally include information that has been anonymized so that it can no longer reasonably be linked to a person.

Our handling of personal information is guided by applicable Canadian privacy requirements, including the fair information principles described by the Office of the Privacy Commissioner of Canada.

This policy covers ShipCarte’s general privacy practices. A service agreement, form or specific notice may provide additional information for a particular product, transaction or relationship.

2. Information we collect

The information we collect depends on how you interact with ShipCarte and which services you use.

Account and contact information

We may collect your name, business name, job title, mailing address, email address, telephone number, account credentials and communication preferences.

Shipment and logistics information

To quote, arrange and support logistics services, we may collect shipper and recipient details, pickup and delivery addresses, contact information, shipment references, product descriptions, declared values, dimensions, weights, customs information, tracking events, delivery records and instructions provided by you.

You are responsible for ensuring that you have authority to provide personal information about recipients, employees, customers or other individuals involved in a shipment.

Transaction and billing information

We may collect billing contacts, invoice details, account balances, payment status and limited payment information. Payment card details may be handled by a payment processor rather than stored directly by ShipCarte.

Website and technical information

When you use our website or platform, systems may record device and browser information, IP address, pages viewed, referring pages, timestamps, diagnostic information and actions taken within an account. We use this information to operate, secure and improve the experience.

Communications and support information

We collect information contained in quote requests, consultation forms, emails, telephone conversations, support cases, surveys and other communications with our team.

3. How we collect information

We collect personal information:

  • Directly from you, including through forms, account registration, shipment creation, email, telephone and support conversations.
  • From your organization or authorized users, when an employer, customer or account administrator adds you to an account or includes your information in a transaction.
  • From service and logistics partners, such as carriers, warehouses, payment providers and technology providers that return tracking, delivery, billing or operational information.
  • Automatically, through website, platform, security and diagnostic technologies.

We aim to identify why information is needed before or when it is collected and to limit collection to what is reasonably required for those purposes.

4. How we use information

ShipCarte may use personal information to:

  • create, administer and secure accounts;
  • prepare quotes and respond to service inquiries;
  • arrange pickups, transportation, fulfillment, warehousing, delivery and returns;
  • create labels, shipping documents, customs documents and transaction records;
  • provide tracking, delivery updates, customer support and exception management;
  • process payments, credits, invoices and account reconciliation;
  • communicate about services, operational changes and account activity;
  • maintain, troubleshoot, secure and improve our websites, platform and workflows;
  • prevent fraud, misuse, security incidents and unauthorized account access;
  • meet legal, regulatory, customs, tax, insurance and recordkeeping obligations; and
  • send marketing communications where permitted, with an option to unsubscribe.

We do not use personal information for a new purpose that is materially different from the purpose identified at collection without obtaining consent or another lawful basis where required.

Consent may be express or implied depending on the sensitivity of the information, the context and applicable law. By submitting information or using a service, you consent to the collection, use and disclosure reasonably required to provide that service.

You may withdraw consent for optional uses by contacting us. Withdrawal will not affect processing already completed and may limit our ability to provide a feature or service that depends on the information. Operational, legal and contractual records may still need to be retained.

You can opt out of promotional emails by using the unsubscribe link in the message or contacting ShipCarte. Service, billing, security and account notices are not promotional and may still be sent.

6. When we share information

We do not sell personal information. We may disclose information in the following circumstances:

  • Carriers and operating partners. Information is shared with carriers, warehouses, customs brokers, fulfillment providers and other parties needed to quote, route, process and complete the service.
  • Technology and business providers. We may use providers for hosting, communications, payment processing, customer support, analytics, document generation, security and professional services. They receive only the information reasonably required for their role and are expected to protect it.
  • Your organization and authorized users. Account owners, administrators and permitted users may see activity associated with their organization or account.
  • Business transactions. Information may be reviewed or transferred as part of a financing, reorganization, merger, sale or transfer of all or part of the business, subject to appropriate protections.
  • Legal and safety requirements. We may disclose information where required or permitted by law, regulation, legal process, customs requirements, an investigation, or to protect rights, safety, security and property.

7. Service providers outside Canada

Shipments and technology services can involve providers located in Canada, the United States and other countries. Personal information processed in another jurisdiction may be subject to that jurisdiction’s laws and may be accessible to courts, law enforcement or regulatory authorities there.

We remain responsible for personal information under our control and use contractual, organizational or technical measures appropriate to the service and information involved.

8. Cookies and similar technologies

Our websites and platform may use cookies, local storage and similar technologies to keep sessions active, remember preferences, support security, understand performance and improve the experience.

Some technologies are necessary for the website or account to function. Where optional analytics or similar tools are used, the information they collect and the choices available may depend on the provider and your browser settings. Blocking certain technologies may affect site or platform functionality.

9. Retention and disposal

We retain personal information only as long as reasonably necessary for the purposes described in this policy and to meet legal, tax, customs, insurance, dispute-resolution, security and business record requirements.

Retention periods vary by record type. When information is no longer required, we take reasonable steps to delete, destroy or anonymize it, subject to technical backup cycles and lawful retention needs.

ShipCarte uses administrative, technical and physical safeguards designed for the sensitivity and amount of information involved. Measures may include access controls, account authentication, staff procedures, service-provider requirements, monitoring, backups and secure disposal practices.

No website, platform, transmission or storage system can be guaranteed completely secure. You should protect your credentials, use a unique password, restrict account access to authorized users and notify us promptly if you suspect unauthorized activity.

If a privacy or security incident occurs, we will assess it and take steps required by applicable law, which may include notification to affected individuals or regulators.

11. Access and correction

You may ask whether ShipCarte holds personal information about you and request access to it or correction of inaccurate information. We may need to verify your identity before processing the request.

Access may be limited where permitted or required by law—for example, where disclosure would reveal another person’s information, confidential commercial information, privileged material or information connected to an investigation. If access cannot be provided, we will explain the reason where legally permitted.

Account information may also be reviewed or updated through available account settings.

12. Children and minors

ShipCarte’s websites, platform and commercial logistics services are not directed to children. We do not knowingly seek personal information from children without appropriate authorization. If you believe a child has provided information to us improperly, please contact us.

13. Changes to this policy

We may update this Privacy Policy when our services, systems, providers or legal requirements change. The current version will be posted on this page with a revised “Last updated” date. Material changes may also be communicated through the website, platform or account contact information where appropriate.
